Club changes

Over the next couple of months we have a number of significant changes happening at Kilmarnock Harriers.  The Committee has been working on these changes for some time with a view to improving the admin of the Club.  We’re a Club of over 400 members, with a waiting list, and we need to find ways of operating smarter and more efficiently to minimise the time demands on the Volunteers.

Please take some time to read this post so you are aware of what’s happening and what to expect next.

Club Structure

Firstly the Club, which is currently established as an unincorporated association, has applied for and been granted charitable status as a Scottish Charitable Incorporated Organisation (SCIO).  This improves the governance of the Club and potentially opens up additional funding opportunities.

To formally convert to the SCIO we need to hold an Extraordinary General Meeting of “Kilmarnock Harrier & Athletic Club”, to effectively dissolve the unincorporated association, followed by a meeting to establish “Kilmarnock Harrier & Athletic Club (SCIO)”.  For members you should expect little or no change, although we would encourage your attendance at the meeting.  This is scheduled to happen at the Club Annual meeting, to be held on Friday 8th April in the Park Hotel.  More details will be provided nearer the time.

Annual Subscriptions

The annual subscriptions for 2016/17 will be agreed at the above mentioned meeting.  For 2016/17 fee payment we are in the course of establishing an online membership database with online annual subscription collection.  This will be via an organisation Pay Subs Online.

As an initial step we will be uploading details of our 2015/16 paid members to the Pay Subs Online website.  This will largely be the information provided in your most recent membership form.  In due course, when the 2016/17 membership fees are agreed in April, all 2015/16 members will receive an e-mail inviting them to register with Pay Subs Online, update / confirm your details and pay your 2016/17 subs.  There is no action for you to take at present.

Pay Subs Online are an established organisation who provide this service to a large number of clubs and are registered holders of personal data.

There will continue to be an option to pay cash offline, but the preferred route will be online.

This will not affect the payment of nightly attendance fees.
